This Privacy Policy explains how we collect, use, store and protect your personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. It applies to visitors to our website and to clients and prospective clients of our coaching, teaching and related services.

Inner Being Medicine™ provides relational and somatic coaching, mentoring, and educational consultancy.

Please note that while Aleksandra Matakovic-Manca has a background in medicine, psychiatry, and psychotherapy, these services are strictly non-clinical. We do not provide medical, psychiatric, or psychotherapeutic assessment, diagnosis, or treatment. We work entirely with what arises in the present moment and do not create, collect, or store clinical case notes or written records of coaching sessions.

We process your information under the lawful bases of performance of a contract, legitimate business interests, or explicit consent (where special category data is present).

We collect only:

Physical or nervous system observations made during our somatic and relational work constitute Special Category Data under UK GDPR. We process this data relying on Article 9(2)(a) (Explicit Consent) via our signed Client Agreement, or Article 9(2)(g) (Substantial Public Interest) in the rare event that emergency safeguarding protocols must be activated.

Information shared within our sessions is treated with absolute confidentiality. We will never sell your personal data.

Access to administrative data is restricted to authorised personnel (such as a Practice Administrator) operating under strict confidentiality agreements for scheduling and billing purposes.

Data will only be shared outside the practice without your consent under the following strict legal or safeguarding exemptions:

• Where disclosure is required by UK law or legal proceedings;
• Where we assess an immediate risk of harm to yourself or another person, or signs of acute clinical deterioration where emergency safeguarding protocols and public clinical escalation pathways (such as a GP or NHS 111) must be activated to ensure safety.

If you choose to join our newsletter, we collect your name and email address through the sign up form on our website. Our newsletter is managed through Flodesk, a third party email marketing platform based in the United States, which stores and processes this information on our behalf. We only ever ask for your name and email address when you sign up. We use your details only to send you our newsletter and occasional updates about our work, and we do so on the basis of your consent. We will never sell your details or share them for anyone else's marketing.

You can unsubscribe at any time using the link at the bottom of every email, or by contacting us at info@innerbeingmedicine.com. Flodesk may also collect basic information about how our emails are opened and engaged with. Our website may use cookies and similar technologies to help it function properly and to understand how visitors use the site. Where analytics or marketing cookies are used, we will ask for your consent in line with UK law, and you can manage your preferences at any time through the cookie settings on our site. Where you have accepted marketing cookies, we use a tracking pixel provided by Meta, the company behind Facebook and Instagram. This pixel places a small cookie and tells us which of our ads brought you to the website, which pages you viewed, and basic information about your device and browser. We use it to measure how our advertising performs and to improve future ads. It is only ever enabled with your consent, you can withdraw that consent at any time through the cookie settings above, and Meta handles any information it receives under its own data policy.

Some of the third party providers we use to deliver our Services, for example payment processors, scheduling tools, email platforms or advertising platforms, may store or process information outside the UK, including in the United States. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or a UK adequacy regulation.

We use Flodesk to manage our mailing list. Flodesk is based in the United States and acts as our data processor. Transfers of your personal data to Flodesk are protected by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, which forms part of Flodesk's Data Processing Addendum.

We retain your minimal administrative records securely for up to 6 years to comply with UK tax, financial accounting, and insurance requirements. Administrative enquiries where no service is taken up are deleted after 6 months. Newsletter subscriber details are kept until you unsubscribe, after which we keep only what is needed to make sure you are not contacted again. Fully anonymised research transcripts generated in the future contain no identifying data and may be retained indefinitely for educational analysis.

Under UK law, you have the right to access, correct, restrict, or request the erasure of your personal data, or to withdraw consent at any time. You also hold the right to lodge a complaint regarding data handling with the Information Commissioner's Office (ICO).

Inner Being Medicine™ is based in the United Kingdom and is not established in the EU. Where we offer Services to individuals located in the EU, we aim to meet the requirements of the EU GDPR in addition to the UK GDPR. If we are required to appoint an EU representative for data protection purposes, their contact details will be provided to you on request.
